Privacy Policy
What we collect, how study content reaches AI providers, and the choices you have about your information.
Last updated:
1. About this policy
This Privacy Policy explains how StudyArena handles personal information when you visit our website, create an account, or use our study tools. In this policy, “StudyArena,” “we,” and “us” refer to the service operating under the StudyArena name.
For privacy questions, account closure, or a request about your information, contact support@studyarena.app. Our Terms of Service describe the rules for using StudyArena.
2. Information we collect
- Account and profile information: email address, username, date of birth, authentication records, and profile information you add, such as an avatar or name. Passwords are handled through our authentication provider.
- Study content: documents you upload for processing, file names, extracted text, selected pages, generated study material, tutor messages, and saved chat history.
- Progress and social activity: quiz answers, scores, practice history, XP, leaderboard entries, friends and friend requests, and profile visibility preferences.
- Access and support records: your plan, access expiry, code redemptions, feedback, support messages, and administrative changes to your account.
- Payment records: order references, purchase amounts and currency, the payment environment and status, purchase terms accepted, and records of access granted. These records help verify payments and resolve billing issues.
- Technical and usage information: IP addresses, browser or device information, session identifiers, activity timestamps, generation usage and costs, error reports, and performance diagnostics. Diagnostic information can include context from the action that failed.
3. How we use information
We use account information to sign you in, verify access, and support your account. We process your study material and questions to generate the study tools you request and save your work and progress.
We use activity and technical information to operate social features, maintain the service, investigate errors, monitor AI usage, enforce limits, prevent abuse, and respond to support requests. Authorized administrators can access account, content, and activity records for these operational purposes.
Where applicable law requires a legal basis, the purposes above include providing the service you request, our interests in maintaining a secure and reliable service, and meeting legal obligations. Consent is a separate basis where it is required; this notice does not replace any consent required by law.
4. AI processing and service providers
Using AI features sends relevant content outside StudyArena. Study-pack generation can send extracted text and instructions through OpenRouter to the configured model providers. Tutor chat uses OpenAI and can upload extracted source text to hosted files and search indexes. Novita may process document pages when OCR is enabled.
We use Supabase for account authentication, database records, and supported file storage, including avatars. Hosting and infrastructure providers process the technical information needed to deliver the website. When configured, Sentry receives errors, performance traces, and sampled session replays for troubleshooting.
Provider retention and use of inputs depend on the provider, model, and account settings. We do not promise that every model provider excludes inputs from training. Do not submit confidential documents, identifiable patient records, or other sensitive information that you are not authorized to share with these providers.
Provider privacy information: Supabase, OpenRouter, OpenAI, Novita, and Sentry.
5. Payment processing
When online checkout is available, payments are processed on Wayl’s hosted checkout. We send the order reference, amount, currency, and plan description to Wayl. We do not send uploaded study material to Wayl or collect card numbers, security codes, or banking passwords through StudyArena.
Wayl may collect payment, contact, and device information under its own privacy terms. Payment notifications can contain customer details; StudyArena verifies their signatures and stores only the operational event fields needed for billing, without retaining customer names, phone numbers, or addresses from those notifications. Payment and access records may be retained for accounting, security, disputes, and legal obligations after account closure.
6. Profile visibility and sharing
Profile visibility is public to other signed-in users by default. Your username, avatar, and social or study achievements may be visible through profiles, leaderboards, and friend features. Available settings let you restrict profile visibility and control whether quizzes and XP appear on your profile; different features can expose different information.
Friend requests and notifications are visible to their intended recipients. We may also disclose information when required by applicable law or when necessary to investigate abuse, protect users, or defend legal rights.
7. Cookies and browser storage
Authentication cookies keep you signed in. Local and session storage remember settings such as your theme, help restore unfinished study work, and identify an active session. Blocking or clearing these can sign you out or remove locally saved preferences and drafts.
When enabled, diagnostics and session replay can collect information about interactions with the site. The application also loads fonts from Google Fonts, which causes your browser to contact Google under its Privacy Policy. Your browser offers controls for cookies and site storage; StudyArena currently has no in-app diagnostics or session-replay preference.
8. Retention and deletion
Saved study packs, extracted text, and chat history do not currently have a fixed automatic deletion period. They remain stored until removed through available controls or a deletion request, subject to records needed for security, support, legal obligations, and backups.
Deleting a study pack removes its saved record and attempts to remove associated hosted AI files and search indexes. Third-party deletion requests can fail or be subject to provider retention rules. Backups and operational logs may retain copies after removal from the active application.
For account closure, deletion of information not covered by an in-app control, or help with a failed deletion, email support@studyarena.app. We may need to verify account ownership before acting. Clearing browser storage removes local copies only; it does not delete server-side records.
9. Your choices and rights
You can edit available profile details and visibility settings, choose what to upload, and use the deletion controls provided in the app. Some account fields, including date of birth, require a support request to correct.
Depending on the law that applies to you, you may have rights to access, correct, delete, or receive a copy of personal information, restrict or object to certain processing, withdraw consent where processing relies on it, and complain to your local data-protection authority. Contact our support address to make a request. Applicable legal requirements and exceptions govern how requests are handled.
10. Security and international processing
The service uses authentication and access controls to protect information. No online service can guarantee complete security. Keep your credentials private and contact support if you suspect unauthorized access.
Our infrastructure and AI providers may process information in countries other than your own, where privacy rules can differ. The providers and features involved determine where processing occurs. Contact us for information about the arrangements relevant to your account.
11. Younger users
You must meet the age and permission requirements that apply to your use of online services in your country. If you are not legally able to agree to our Terms yourself, involve a parent or guardian. If you believe a child has provided personal information without required authorization, contact support@studyarena.app so we can investigate and address it.
12. Changes and contact
StudyArena may update this policy at any time, subject to applicable law. Updates will appear on this page with a revised date. Where required, material changes will be communicated separately and any necessary consent will be requested before the changed processing begins.
